Anita will need to get in touch with all the suppliers of videos and DVDs in her area, and this means putting together a formal letter that can be sent out to all those companies.

A formal letter can be created on any word processing software such as Microsoft Word, but it has to follow certain formal rules:

Layout

  • Always put your address and the date at the top of the letter;
  • The name and address of the person you are writing to usually goes on the left hand side - slightly lower than your address;
  • (Use Paragraph Alignment on your Toolbar to move text right or left)
  • Begin the letter 'Dear Sir or Madam', unless you have spoken or written to them before, in which case you would use 'Dear Mr Bloggs' or 'Dear Mrs Jones';
  • Keep the tone of the letter simple and to the point - the first paragraph should outline the reason why you are sending the letter;
  • End the letter with 'Yours faithfully', unless you know the person, in which case you should use 'Yours sincerely'.
